Our Proven Debt Recovery Process
We follow a structured four-week recovery cycle designed for consistency, accountability, and maximum results.
Week 1: Early Arrears Engagement (3+ Months in Arrears)
- Contact all owners 3 months or more in arrears (not yet handed over).
- Engage via phone, email, SMS, and WhatsApp.
- Offer payment arrangements and issue Acknowledgement of Debt for signing.
- If no payment within 14 days → escalate to Soft Collections.
- After 14 days → move to Hard Collections and blacklist the account.
- Use tracing tools such as CPB and SearchWorks to update contact details.
- Prioritise securing debit orders and managed accounts.
Week 2: Active Arrears Management (Partially Paid or Current)
- Focus on owners with current arrears or partial payments.
- Send arrears letters and SMS reminders on the 8th of the month.
- Follow up through all communication channels.
- Emphasise payment arrangements and debit order sign-ups.
Week 3: Final Demand and Settlement (2 Months in Arrears)
- Send Final Demand letters and SMS on the 15th of the month.
- Contact owners to propose settlement plans.
- Focus on mid-month payers, deceased estates, new owners, and clearance requests.
Week 4: Legal Escalation and Handover Management
- Review and manage all handed-over matters and accounts excluded from prior weeks.
- On the 25th, send SMS and letters for legal or handed-over accounts.
- Prioritise: developer units, deceased estates, insolvent cases, CSOS matters, and penalties.
- Provide updated reports on all active recovery cases.
